Minutes for 12/17/2009

Present: Commissioners: Chairperson Sharon R. Brinks, Richard Clanton, Frank Cummings, and Mayor Richard L. Root. Also present: Fire Chief James Carr, Finance Director Tom Chase, Deputy Administrator Rich Houtteman, City Clerk Dan Kasunic, Deputy Fire Chief Brent Looman, Administrative Assistant to the Fire Department Nancy Shane, Assistant Finance Director Phil Tietz, Auditors Stephen Blann and Kristin Saper.


1. PURCHASE OF REPLACEMENT PROTECTIVE CLOTHING FOR FIRE DEPARTMENT PERSONNEL.
Motion by Clanton, supported by Cummings, to recommend to the City Commission that it authorize the purchase of Globe brand protective clothing from Time Emergency Equipment, at a total cost of $10,808.00 with funds from the Fire Department Operating Budget.

Motion Carried.


2. AUDITED FINANCIAL STATEMENTS FOR THE FISCAL YEAR ENDED JUNE 30, 2009
Rehmann Robson's Auditor Blann reviewed important points regarding the audit on several categories including audit letter to the City Commission. Finance Director Chase clarified several points of procedure. He also stated in regards to the audit point on the payback account his desire to give it to the State because of the inordinate amount of time required to investigate the return of those funds. Director Chase informed the Committee of the problem with separation of duties after the reduction of staff and of technology that could improve workload. The Committee discussed other aspects of operations of the City.

Motion by Cummings, supported by Clanton, to receive and file audited Financial Statements for the Fiscal Year Ended June 30, 2009.

Motion Carried.
